HR Automated Reporting

Human resource (HR) management is an important part of any business. However, HR is traditionally a highly manual activity. These manual tasks are usually monotonous and error prone. Moving from static sources to automated sources will save you time, effort and, most importantly, money.

HR Automated Reporting allows your employees to focus more on complex tasks such as decision-making and strategy development and increases the overall efficiency of the entire HR department. By automating standard and repetitive HR activities related to data collection and preparation as inputs to Excel or Power Point reports. Organizations can reduce the cost and time which they spend by manual reports preparation because they can spend this time on other activities. 

Let’s dive into our solution:

Large bank was facing the problem of different data sources for their HR reports. Instead of many static reports, our client wanted to have one interactive report that consolidated every important KPIs in one place.

We implemented HR automated reporting by following steps:

  1.  First, we collected all the data from almost 10 system sources (e.g. SAP FI, SAP HR, etc.), we consolidated it, and we put it all in one place, which in our case was the data warehouse that our client already had. For better visibility we have created a special DataMart only for HR, where data flows went through automated ETL processes in the form of business requirements. Business requirements are business needs which we got from workshops with stakeholders. We collected them into different User Stories, which we then transformed into data requirements. 
  2. The next step was to create a tabular model, where all calculations for each KPI were created. After this step users were able to connect to this tabular model which is reusable solution for other future users. Moreover, automated, and scheduled data flows were set up via this direct connection so no manual refreshes were needed by employees.
  3. Finally, we created an automated user-friendly report in Power BI that was the main BI technology within this bank. We also implemented automated access management (Row-Level Security rules) to ensure data security standards to be met. This report was published to the Power BI cloud (Power BI service) and could be easily shared to other members of organization.

Overview page is about giving users an overall overview of HR KPIs. We can see that for December 2021:

  • Headcount is 700 which is increase of almost 56% against the previous year 2020
  • We can also have a look how is this Headcount divided by Staff Level, Offices, and Gender.
  • 20 New Hires joined the company but at the same time 50 employees were Terminated.
  • Turnover stays at 7.1% which is more than the previous year in December 2020 – this trend indicates a negative effect on employees and HR department should consider this fact (We have adjusted the color formatting to differentiate whether the company is doing better - turquoise or worse - pink than last year).
  • Through the year, there was an increasing trend of Headcount but at the same time Turnover trend was unstable - that alerts that the company might do something about it. We can also provide a detailed analysis of the reasons why people leave, which should help find the problem and stabilize the turnover trend.
  • Absenteeism Rate is lower than previous year – we are moving in the right direction.
  • Cost per Employee were € 1, 100 which is around 23% more than previous year.

On theRecruitment page, you can find key KPIs according to the Recruitment:

  • it takes 43 days in average to hire new employee which can indicate not very effective hiring process within the company that can result in a loss of candidates.
  • Cost per Hire were € 2,400 in December 2021.
  • 20 New Hires joined the company, and you can see how many of them were women vs men that enables you to track a diversity trend.
  • Also, you get information from which Recruitment Source you got most of the New Hires, which can give you interesting insight – Based on this, you can decide which resources are valuable, which should be strengthened if you see potential in them or which might be canceled.
  • The most Open Positions were in IT Business Unit – 63 in total.
  • The annual trend showed an upward trend in the total number of employees (Headcount), but the company was still terminating more people than hiring.

The Employees page gives you a general overview of the employee you filter. Since there is also confidential information, such as Salary, we set up Row-Level Security rules that address access to this visual content only to authorized persons.

If you click on the "More views" button, you will see the Employee Detail view where you can find a detailed table of all your employees. You can also filter which employees you want to look at. (To illustrate, there are only 8 employees)

If you still need to create some specific measurements or work with the data in a different way, you can export the table to an Excel file and work with it as you are used to.
