Case Study: A Global Document Review Solution to a United States Court Deadline

Publish date:

Abstract

A court-imposed document production deadline for largely uncollected data was imposed upon a large pharmaceutical client. Deloitte Document Review Services (“DRS”) was able to provide a timely and cost-effective solution to meet the production deadline using an integrated global team of Deloitte practitioners from the U.S. and Hyderabad offices and Deloitte’s proprietary eRaptor productivity measurement and reporting technology.

The Challenge

  • A large pharmaceutical company faced an aggressive court-imposed discovery deadline, requiring them to produce a large volume of documents in a very short period of time. This was compounded by the fact that the majority of the data was not yet collected or processed for review, which drastically shortened the review and production timeframe. To meet the deadline, the client and trial teams turned to Deloitte Document Review Services to quickly review and produce these critical litigation documents.
  • The Deloitte DRS team needed to quickly mobilize and expand the engagement team with the appropriate Deloitte practitioners to meet the deadline. The required practitioners were located in Deloitte’s Hyderabad, India, office. Through Deloitte DRS’s ability to quickly onboard practitioners located halfway across the world and integrate them into an already existing team, DRS was able to provide a high quality, cost effective solution to the daunting production challenge.

How We Helped

  • Through technology and Deloitte DRS’s leading practices, honed through years of experience, Deloitte DRS was able to quickly transfer knowledge to the Hyderabad practitioners resulting in the needed around-the-clock, global coverage, with continued U.S. oversight and support.
  • By having experienced practitioners in different parts of the world, the client benefited from a twenty-four hour work day and the ability to have last minute requests completed by the start of the next business day. Technology coupled with on-line review tools allows for a seamless document review from any global locale at any time of day.
  • The integration of the team was culminated by a “Trans-World Handshake” during which U.S. practitioners and Hyderabad practitioners “met” via Deloitte global videoconferencing. The Indian practitioners were joined in Hyderabad for the “Trans-World Handshake” by DRS National Service Line Leader, Diane Barrasso, and DRS Director, Jean Weir.
  • The “Trans-World Handshake” signified the full integration of the team, despite the vast geographic distance between the two offices. It is this partnership coupled with Deloitte DRS leading practices which allowed the global team to cohesively function as one, in turn providing the client with exceptional around-the-clock service, high quality work, and cost containment.
  • In addition to meeting the client’s needs by staffing the project with a global team functioning around-the-clock, the Deloitte DRS team was able to easily track and report the project’s status in regard to resources and productivity. The technology used to provide the client with these reports is called eRaptor, which is Deloitte’s proprietary measurement and reporting technology. Deloitte’s powerful eRaptor database allowed the project team to closely monitor case status and costs to keep the project on track, on time and within budget. eRaptor provided real time reporting and transparency to the client and outside counsel.

The Deloitte DRS’s team services included:

  • Document Collection
  • Document Review
  • Document Production
  • Technical Consulting
  • Trial Team Support
  • Knowledge Transfer to Trial Team
  • Witness and Deposition Preparation Assistance

Solution

With advances in technology, practitioners in two locations can easily and effectively function as one global team, providing outstanding client service and twenty-four hour coverage while containing costs. As seen from the “Trans-World Handshake”, there are no boundaries to the work which can be performed by a global team.
