As “a business operator handling personal information” defined in the Act on the Protection of Personal Information (Kojin Joho Hogoho), each entity of Tohmatsu group will recognize the importance of protecting Personal Information and pay the special attention to its protection in accordance with  the policy described below:


1. Basic Policy 


Each entity of Tohmatsu group:


(1) will comply with laws and regulations, including but not limited to, the Act on the Protection of Personal Information and relevant guidelines, and ensure the proper acquisition and security control of your personal information,


(2) will not utilize your personal information for purposes other than those originally intended, and


(3) will properly handle requests, including but not limited to, inquiries and complaints by you concerning your personal information.

For the purpose of this policy, “Tohmatsu group” means the de facto or unincorporated organization consisted of Japanese entities that are members of the Deloitte Touche Tohmatsu (Swiss Verein) or Japanese entities that are operating their business under the name of “Tohmatsu”, “Deloitte Tohmatsu” or other related names.

 

2. Utilization of Personal Information


A. (1) Purpose of utilization except your prior consent and as stipulated in laws and regulations, each entity of Tohmatsu group will utilize personal information, regardless of whether it was acquired directly or indirectly, to the extent necessary for the accomplishment of the purposes listed below, and for purposes that are notified in advance or that are made known, notified, or explicitly identified to the person promptly after such personal information was acquired: To propose and provide services including audit & assurance servicesenterprise risk servicesfinancial advisory servicesconsulting servicestax servicesindustry-specific services, and global services (Japanese Services Group). 

 

B. To provide information on the publications (including through web-site, and e-mail) by each entity of Tohmatsu group and to introduce information on their sales/subscriptions,


C. To provide information on seminars and study sessions and to operate the management of these seminars and study sessions,


D. For hiring or selecting personnel, including but not limited to, partners/employees or directors/personnel, and for human resources management after its employment,


E. For the purposes of making a proposal, conducting research or taking statistics concerning the services listed in A above, as well as social contribution activities such as responding to the request for advice made by public organizations,

Each entity of Tohmatsu group will not, in principle, provide your personal data to a third party without obtaining your prior consent, except in cases stipulated in laws and regulations.  However, we may provide personal data to a third party, other than each entity of Tohmatsu group, to the extent required for purposes of performing services, as under the circumstances listed below:

B. Method of communication to provide personal data to a third party;

Upon the request of the person to whom the personal information pertains, each entity of Tohmatsu group will discontinue providing his/her retained personal data to a third party.

3. Personal Information Management


Each entity of Tohmatsu group will maintain personal information accurately and will manage such personal information safely. In addition, we will take necessary and proper information security measures against unauthorized access, computer viruses and so forth to prevent the loss, damage, falsification, and leakage of such personal information. Each entity of Tohmatsu group will also supervise its employees (personnel) and outsourcers properly with respect to the handling of personal information and data.

 

4. Items concerning Retained Personal Data, over which each entity of Tohmatsu group is allowed to exercise its authority, by means of disclosure; correction, addition, or deletion of contents; discontinuation of its use or erasing; and discontinuation of its provision to a third party

In addition, we will provide training to engaging personnel including partners/staff (or directors/employees) with respect to the protection of personal information as well as appropriate measures for managing personal information in order to ensure the appropriate handling of personal information in the course of daily operation.

In order to implement this Policy, each entity of Tohmatsu group will establish various internal policies and procedures regarding the protection of personal information, maintain them, and improve them by keeping partners, employees, and related parties fully informed of these policies and procedures.
